What your teachers’ data does here
For school leaders, coaching centres and IT: the short, true version. This page is written to answer a district or school checklist without an email to us.
Draft, not yet approved
The CEO of OpenEduCat Inc. has not approved this text yet, so it is not in force. The approved text replaces it before any account opens.
What is stored, and where
| Data | Where | Who can see it |
|---|---|---|
| Screens, name lists, templates | Our servers in the teacher’s region, saved as they go while the teacher is signed in; the device keeps a copy only as a cache so the board works offline, wiped at sign-out | The teacher |
| Teacher account: email, data region, role; name, school and language if given | Our servers in the region the teacher chose at sign-up: the United States, Europe (Germany) or Singapore. Backups stay in the same region, in Cloudflare R2: in the EU for European accounts, placed in the region by hint for US and Singapore accounts; disks and backups are encrypted. So that one email address cannot hold two accounts, a one-way code made from the address, never the address itself, is kept in our Europe region | The teacher; our support staff on request |
| My Class: student names and roll numbers, attendance, marks, fee status | Our servers, same as above. No contact details, photos or parent data can be entered | That teacher only; never other teachers, students or parents |
| Poll votes | Counts only, for 24 hours. A one-lesson token on the student’s phone stops double votes; it is not linked to anyone and expires with the poll | The teacher running the poll |
| Panel sessions (shared touch panels) | A session-only cookie on the panel, ended by Leave this screen, the end of the school day (10 hours) or 90 minutes idle; nothing of the teacher’s remains after | The teacher, while the session lasts |
| Teacher Plus payments | Stripe, on its own checkout page, in the United States, outside the teacher’s region. Card details never reach us | The teacher and Stripe |
| School workspace: seats, shared templates and name lists | Our servers, same as above | The workspace admins; oversight only with teacher consent and an audit trail |
Retention and deletion
Records are deleted 18 months after your last visit, with a warning email 30 days before.
A teacher can ask for a copy of their data, or for the account to be deleted, at any time.
Your account closes now and a restore link works for 7 days; after that everything is deleted within 24 hours and we email you.
Backups are kept for up to 12 months and then deleted. If we ever restore a backup, accounts deleted since then are deleted again.
A verified workspace admin can request deletion for a departed teacher; it covers the classes assigned to the workspace only.
Students
Students never have accounts and are never asked for a name. The only student-facing page is the vote page; it asks for the poll code and nothing else. A one-lesson token on this phone stops double votes; it is not linked to you and expires with the poll. Student names exist only where a teacher types them.
My Class refuses contact details in its name fields.
Every tool page carries the same three lines above its questions: no student accounts, no ads, data-processing agreement on request.
Agreements and compliance
The privacy policy is linked at the foot of every page, and the terms of service and the acceptable-use policy beside it.
We sign a data-processing agreement on request. No advertising, and no sale of data.
We use Google Analytics 4 to learn which tools teachers use. In the EU, the UK and India it loads only after a teacher agrees on the consent banner, and Cookie settings at the foot of the page changes that choice. It never loads on a page a student can reach, such as the vote page.
A teacher joins our tips and news list only by ticking the box.
We create a lead in Odoo CRM, our customer system, only for an account with the role school office or IT, someone who runs a school workspace, or a teacher who chooses Recommend to my school. Apart from payment data with Stripe, Odoo CRM is the one exception to the region rule: a lead is kept there wherever the account is. No student data ever goes to Odoo CRM.
School workspaces
One workspace per school or centre, for up to 25 people counting members and pending invites, and 1,500 assigned students. It holds one academic year, and a teacher belongs to one workspace at a time.
Each teacher chooses which classes the workspace can see, one class at a time. Admins see class summaries only, never a record for one student, and every view is written to an audit log the teacher can read.
The School trial is 60 days with no card, and every member gets Teacher Plus during it. On day 60 you choose seats, or the workspace becomes read-only for you; teachers keep everything on Free and nothing is deleted.
After the trial the School plan is priced per seat a month, billed monthly or yearly; Pricing shows the price for your country.
School admins get email and a WhatsApp Business number, a reply within 1 working day, and one onboarding call.
The admin signs our data processing agreement when making the workspace, and can export or delete the workspace from Settings, Data and compliance.
For the whole school
These tools are for one teacher. For a whole institution, the next step is OpenEduCat for schools.
School plan
A workspace for your teachers: shared templates and name lists, oversight only with teacher consent and an audit trail, and a signed data-processing agreement. The trial is 60 days, no card. On day 60 you choose seats or the workspace becomes read-only for you; teachers keep everything on Free, shared templates stay openable, nothing is deleted.
Teacher Plus for every seat.
OpenEduCat for schools
OpenEduCat is the institution system, with roles, parent portals, official documents and your own hosting.
My Class records import in one step.
The demo opens on openeducat.org.
