Online Fee Payment for Schools — Built In, Audit-Trailed, Reconciled
Accept parent fee payments online through OpenEduCat — Razorpay, Stripe, PayU, UPI, and NEFT supported. Every transaction auto-reconciled with the student fee record. No orphaned payments, no month-end matching marathon.
How online fee payment works in OpenEduCat
- An invoice is raised against the student: accounts defines the fee structure once, and invoices are made for each class, term and student and appear in the parent portal.
- The parent receives the invoice by email, SMS or WhatsApp with a link to the parent portal.
- The parent presses Pay and picks a method such as Razorpay, Stripe, PayU, UPI or net banking. Card and bank details are typed on the gateway's own page, never on the OpenEduCat server.
- A receipt is made and emailed within seconds of the gateway confirming the payment.
- The payment is matched to the student's fee record at once, so accounts close the month without matching payments by hand.
Why not a third-party payment plugin?
A generic payment plugin can collect money, but it cannot match that money to a student, an invoice and a fee head, because it does not hold your fee data. Once the gateway confirms a payment, the plugin stops, and the accounts team matches each payment by hand from the bank statement. Payments the school cannot trace to a child or invoice lead to the hardest conversations with parents.
A built-in fee module holds both sides: the invoice and the gateway's answer are written together in one place with one audit log, so matching stops being a monthly project.
What online payments cost
Gateways charge a percent of each payment, which differs by method (UPI, cards, net banking), and in India GST is added to those charges. The calculator on this page estimates that cost for your own mix of methods, so you can compare gateways or decide whether to pass the charge on. Gateway rates and settlement terms are set by each gateway; OpenEduCat adds no per-payment fee on top.
- No student accounts.
- No ads.
- Data-processing agreement on request.
How to estimate online payment charges
- Type the fee per payment and how many payments you expect.
- List the payment methods parents use, with each one's share of payments.
- Replace the example rates with your gateway's own rates and the tax on its charges.
- Read the total cost and what reaches your bank, then copy or print the estimate.
Questions teachers ask
What is online fee payment in a school ERP?
Online fee payment is the workflow where a parent receives a digital fee invoice from the school, opens it on their phone or laptop, pays the amount through an integrated payment gateway (Razorpay, Stripe, PayU, UPI, or netbanking), and the school accounts office sees the payment land against the right student record in real time. A receipt is generated and emailed automatically. The whole loop replaces the older cycle of printed challans, parents queuing at the bank, returning stamped copies to the school, and the accounts team typing entries into a register. In OpenEduCat the workflow is built into the Fees Management module rather than bolted on as a third-party plugin.
Which payment gateways does OpenEduCat support out of the box?
OpenEduCat ships with native connectors for Razorpay, Stripe, and PayU, plus support for direct UPI (VPA, QR, intent) and offline bank transfer via NEFT or RTGS with automatic reference matching. Each gateway is configured from the admin panel using your existing merchant credentials — there is no extra vendor signup or middleware. Schools in India typically run Razorpay or PayU for the lowest MDR on UPI; international and multi-country campuses run Stripe for multi-currency settlement. You can enable more than one gateway at once and let the parent pick at checkout, which is useful when a small percentage of parents prefer a specific bank or wallet.
How does OpenEduCat reconcile online payments with student fee records?
Reconciliation happens automatically through the gateway webhook. The moment Razorpay, Stripe, or PayU confirms a successful capture, OpenEduCat receives a signed callback, validates it, and writes the payment against the exact invoice and student that initiated the transaction. The fee ledger updates in real time — outstanding due falls, the receipt is generated, and the parent and accounts head both get notifications. Manual NEFT or UPI transfers carry the student admission number in the narration, and OpenEduCat parses the bank statement upload (or live bank API where available) to match them automatically. Unmatched transactions sit in an exceptions queue rather than disappearing.
Why not use a generic third-party payment plugin instead?
A generic plugin can collect money, but it usually cannot reconcile money. The plugin sends the parent to a gateway, takes the payment, and stops there — your accounts team is left to match each transaction back to a student, an invoice, and a fee head by hand. Most institutes lose five to ten hours per finance staff per month on this manual matching alone, and orphaned payments (parent paid, school cannot find the entry) generate angry support calls. A built-in fee module like OpenEduCat reconciles end to end because it owns both sides of the transaction — the invoice and the gateway response — and writes them in the same database in one transaction.
Is online fee payment through OpenEduCat secure and audit-compliant?
Yes. Card and bank credentials never touch the OpenEduCat server — they are entered on the gateway hosted page (PCI-DSS certified by Razorpay, Stripe, or PayU). OpenEduCat only stores the gateway reference ID, payer email, payment status, amount, and timestamp. Every payment, refund, waiver, and manual adjustment is written to an immutable audit log with the user, IP address, and reason. This satisfies statutory audit requirements for trusts and registered education societies, and supports board inspections under bodies such as CBSE, ICSE, or state-level affiliation councils. Role-based access ensures only the accounts team can issue refunds or waivers.
Can parents see all their children fee dues in one place?
Yes. The OpenEduCat parent portal aggregates fees across every child enrolled in the institute, across years and across fee heads, into a single ledger view. A parent with two children — one in Grade 4 and one in Grade 9 — logs in once and sees tuition, transport, exam, and lab fees for both kids, with the option to pay any combination in a single checkout. The portal also surfaces scholarship adjustments, partial payments, and any waivers granted by the accounts office, so parents never have to ask the school why a balance looks different from what was billed.
What happens if a parent payment fails or is duplicated?
Failed payments are recorded as failed against the invoice but do not mark it as paid — the parent can simply retry without contacting the school. Duplicate payments (parent pays twice for the same invoice within minutes) are caught at the webhook layer using the gateway idempotency key, and the second attempt is auto-refunded or flagged for the accounts team to refund in one click. Every failure carries the gateway error code so support staff can tell the parent exactly what went wrong (insufficient funds, OTP timeout, bank decline) instead of guessing. Nothing is silently lost — that is the difference between a built-in module and a bolt-on plugin.
How long does it take to switch from paper challans to OpenEduCat online fee payment?
For a single-campus institute with one bank account and one gateway, the typical go-live is two to four weeks. Week one is fee structure setup — defining heads, classes, terms, scholarships, and late-fee rules. Week two is gateway integration and a pilot with one or two classes. Week three is parent communication and onboarding the rest of the institute. Multi-campus trusts with several bank accounts and mixed currencies usually plan a six-to-eight week rollout. Existing fee data from any legacy ERP or spreadsheet can be imported directly into the student fee ledger, so historical dues and paid records are preserved from day one.
